Attendance and time
Overnight shift: which date the night's work belongs to
An overnight shift is a shift that begins on one calendar date and ends on the next, such as 9:00 pm to 6:00 am. For attendance and for pay it is one shift, and the employer decides which of the two dates the record sits on. The common convention is the date the employee checked in.

Also called: night shift, overnight shift, graveyard shift, cross-day shift
In plain English
Someone starts work at night and finishes the next morning. The whole stretch is one working day, and the employer has to settle which date it gets written against.
How it works in detail
Guards, hotel front desks, warehouse loaders and petrol pump attendants all work stretches that cross midnight, and the payroll question is the same for each. The usual convention is the check-in date, so a shift beginning at 9:00 pm on the 30th belongs to the 30th even though most of the hours fall on the 31st. Pick one convention, write it into the shift policy, and use it for the whole crew.
That convention then settles three things. It settles which month a shift worked on the last night of the month is paid in. It settles whether a shift starting on a weekly off counts as a weekly off worked. And it settles how the register reads, because the check-in time and the check-out time sit on different dates, and a reader who does not know the rule sees one night as two half-empty days.
A worked example
The setup
Say Imran is a wage-based loader paid INR 780 a day. He runs a 9:00 pm to 6:00 am shift and works 24 nights across September.
The calculation
INR 780 x 24 nights = INR 18,720 for September. The shift starting at 9:00 pm on 30 September is recorded on the 30th, so it stays inside the month. Pushing it into October would leave INR 18,720 - INR 780 = INR 17,940.The result
Imran is paid INR 18,720 for September. His record shows 24 shifts, each one carrying a check-in on an evening and a check-out on the following morning.
Common mistakes
- Reading one night as two days because the check-in and the check-out fall on different dates. A crossing shift is a single shift and the register has to show it as one entry.
- Switching the date convention at the end of a month so a total looks better. It moves one night's pay into the next month, and the crew notices when the wage sheet is short.
- Applying the day crew's weekly off rule to a night crew without asking which date the off falls on. State in the policy whether a Sunday off begins on Saturday night or Sunday night.
How VTClock handles it
Overnight shifts are handled in the attendance record along with shift grace and late allowances, and both monthly salary and daily wages are built from that same record.
Frequently asked questions
How do I handle a night shift that runs across the last day of the month?
Decide the rule once, before the month closes. Most employers count the shift in the month it started, so a night beginning on the 31st is paid with that month even though the hours end on the 1st. Write the rule into the shift policy so the same night is never claimed by two wage sheets, and never change it mid-year to balance a total.
Do night workers get extra pay for the hours worked after dark?
There is no single national rate you can copy. Night working conditions are dealt with by the state Shops and Establishments Act, by factory rules and by industry-specific rules, and some employers pay a night allowance as their own policy rather than as a statutory requirement. Confirm what applies to your establishment and your category of work with your consultant before you promise anything.
How should an attendance register show a shift that crosses midnight?
One row for one shift, with the start date named, the check-in time in the evening and the check-out time on the following morning. Some registers add a small note that the exit falls on the next date. What you must avoid is two rows, because a later reader counting rows will find twice as many shifts as the crew actually worked.
When does a weekly off start for a crew that works nights?
Whichever way you write it, say it plainly. If the off is Sunday and shifts are recorded on the check-in date, a crew member finishing Sunday morning has worked a Saturday shift and their off is the Sunday night. Employers who leave this unstated end up either paying for a night nobody expected to work or losing a rest period the employee was counting on.
